1. Acceptance of Terms
By accessing, browsing, or using the Stallions Sports Complex website, facilities, or services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not use our services.
We reserve the right to modify these terms at any time without prior notice. Continued use of our services after changes constitutes acceptance of the updated terms.
2. Definitions
- "Stallions," "we," "us," "our" refers to Stallions Sports Complex.
- "User," "you," "your" refers to any individual who accesses our website, facilities, or services.
- "Member" refers to an individual with an active membership plan.
- "Facility" refers to any indoor court, lane, box, or training area at our complex.
- "Booking" refers to a reserved time slot for facility use.
3. Facility Use Rules
3.1 General Conduct
- All users must check in at the front desk before using any facility.
- Valid photo ID may be required for verification.
- Appropriate athletic footwear and clothing are mandatory.
- No food or beverages (except water) are permitted in facility areas.
- Alcohol, drugs, and tobacco products are strictly prohibited.
- Respectful behavior toward staff, coaches, and other users is required at all times.
3.2 Safety Requirements
- Users must warm up before engaging in physical activity.
- Report any injuries, equipment damage, or unsafe conditions immediately to staff.
- Children under 12 must be supervised by an adult at all times.
- Use of equipment without proper instruction is prohibited.
- Stallions is not liable for injuries resulting from failure to follow safety guidelines.
3.3 Facility-Specific Rules
- Cricket Lanes: Only approved cricket balls may be used. No metal-spiked shoes.
- Basketball Court: Non-marking shoes required. Dunking only on designated hoops.
- Pickleball/Badminton: Court shoes with non-marking soles mandatory.
- Gym: Wipe down equipment after use. Re-rack weights. No dropping weights.
- Sauna/Cold Plunge: Shower before use. Time limits may apply during peak hours.
4. Booking and Cancellation Policy
4.1 Making Bookings
- Bookings can be made online, by phone, or in person.
- Full payment is required at the time of booking.
- Bookings are non-transferable unless approved by management.
- Maximum booking duration is 3 hours per session.
4.2 Cancellations and Refunds
- 24+ hours notice: Full refund issued to original payment method.
- 12-24 hours notice: 50% refund issued. Remaining 50% as facility credit.
- Less than 12 hours: No refund. Full charge applies.
- No-shows: Full booking amount charged. No refund or credit.
- Refunds are processed within 5-7 business days.
4.3 Rescheduling
Rescheduling is permitted up to 12 hours before the original booking time, subject to availability. Rescheduling within 12 hours is treated as a cancellation and new booking.
5. Membership Terms
5.1 Membership Activation
- Memberships activate on the date of purchase or a specified future date.
- Photo ID and signed waiver are required for all memberships.
- Memberships are non-transferable and non-refundable except as required by law.
5.2 Billing and Renewal
- Monthly memberships auto-renew on the same date each month.
- Annual memberships auto-renew on the anniversary date unless cancelled.
- Failed payments will result in membership suspension after 7 days.
- Price changes will be communicated 30 days in advance.
5.3 Cancellation and Freezing
- Monthly memberships: 30 days written notice required.
- Annual memberships: Pro-rated refund based on months used.
- Membership freeze: Up to 3 months per year. Freeze requests require 14 days notice.
- No refunds for partial months.
6. Coaching and Training Services
- All coaching sessions must be booked in advance.
- Session cancellations require 24 hours notice for credit. Less than 24 hours forfeits the session.
- Coaching packages expire 6 months from purchase date.
- Coach assignments are subject to availability. Substitute coaches may be provided.
- Private coaching sessions are for the named individual only.
7. Liability and Insurance
- All users participate at their own risk.
- Stallions is not liable for personal injury, loss, or damage to personal property except where caused by our negligence.
- Users are strongly encouraged to maintain personal accident and health insurance.
- Equipment rented from Stallions is the user's financial responsibility for damage or loss.
8. Photography and Media
- Stallions may photograph or video record activities for promotional purposes.
- By using our facilities, you consent to the use of your image in promotional materials unless you submit a written opt-out request.
- Commercial photography or videography requires prior written approval from management.
9. Prohibited Activities
The following activities are strictly prohibited and may result in immediate termination of membership and/or legal action:
- Harassment, discrimination, or abusive behavior toward any person
- Vandalism or deliberate damage to property
- Theft of equipment or personal belongings
- Unauthorized access to restricted areas
- Selling goods or services without management approval
- Using facilities while under the influence of alcohol or drugs
- Bringing weapons or dangerous items onto the premises
10. Termination
Stallions reserves the right to terminate or suspend any membership or booking without refund for:
- Violation of these Terms and Conditions
- Non-payment of fees
- Behavior deemed harmful to other users, staff, or property
- Fraudulent activity or misrepresentation
11. Governing Law
These Terms and Conditions are governed by the laws of the Province of British Columbia, Canada. Any disputes arising from these terms shall be resolved in the courts of Surrey, BC.
